SMA21 - A2 COLOUR BOOK SCANNER

Borthwick InstituteThe SMA21 provided an ideal solution for the Borthwick Institute as the integral book cradle allows the scanning of bound volumes whilst the spines of the books are supported. The flat bed also allows the scanning of material up to A2 in size at an optical (uninterpolated) resolution of 300 dpi. Sara Slinn (MA, Oxon), Office Manager at the Borthwick Institute, comments “The SMA21 has a very quick throughput – we have found that we can get through large quantities of material very quickly, even with archives that need careful manual handling. The quality of output is superb.

“The scanner has proved popular with other individuals and organisations, so we have been able to take on jobs for people who would not previously have had access to this quality of scanning. Since we have had the SMA21 we have been able to scan all sorts of antiquarian books, photographs and manuscripts. The SMA21 plus our state of the art BS5454 strongrooms are a winning combination since we can offer secure, environmentally controlled storage for material while a job is in progress.”

SMA21 - A2 COLOUR BOOK SCANNER

“The SMA21 has enabled us to offer our users affordable copies of material which previously could only be photographed. It has proven very popular with our researchers and enabled us to move forward with our large-scale digitisation plans.” Ian Coates, Business Development Manager for Genus, commented “We are delighted the Borthwick Institute’s use of the SMA21 has allowed them to meet their objectives of improving accessibility to their archives and upgrading their own reprographic service”

Genus Golf Day

Once again Genus held its’ annual Golf Day this summer. On August 2nd a large number of sales and management drop outs attended the pilgrimage to
Hinckley Golf Course in Leicestershire. What followed can only be described as a "sight to behold" with golf balls being placed majestically into lakes, bunkers and birds nests.

The day started off well enough with bacon sandwiches and coffee being consumed enthusiastically but it all went downhill as soon as the bats came out of the bags. The morning involved two group sessions of putting and pitching lessons with the local professional’s – Nick and Jason. After much hilarity and lunch the day moved on to an 18 hole team and individual stapleford competition.

Amongst the winners were Chris Wilde of Preview Services with longest Drive and Nearest the Pin went to Jason Kabi of KIP UK. This was the most amazing winner of the day as last year Jason cleaned up on the Most Golf played award! The team award went to the Dream Team of Phil Bull of E-Docs, Neil Auburn of Nationwide Building Society and Dave Nichols of Print Farm.

Individual runner up of the day went to Phil (I work too hard to be able to play golf) Hall of Headway and the overall individual winner of the day went to Neil Auburn of Nationwide Building Society. The Most Golf Played award went to our very own Craig Sellick from Accounts. It is good to know that he doesn’t while away his hours practising Golf!

Thank you very much to those who attended for a very enjoyable day.

KIP 3000 News

We now have a KIP 3000 A0 copier/scanner/printer available for demonstrations in our showroom. The KIP 3000 has been enormously popular since its launch earlier this year. The 3000 offers the ability to scan, print and copy from one small footprint unit and as all prints and scans are returned to the front of the unit it means that the 3000 can be fitted very easily into many small office environments.

The 3000 also features a touch screen, easy to use, operator panel that allows all prints to be allocated to different departments for cost control purposes. Scanning, printing and copying is performed at 600 x 600dpi to give exceptional image quality. With KIPs’ HDP technology it means that the 3000 is 100% toner efficient thus providing excellent environmental credentials. Some of the sites for Kip 3000’s include East Riding of Yorkshire Council; White, Young and Green; Brophy Associates and Coltman Precast Concrete Ltd.

New for November 2006 – the KIP 3000 is now available with colour scanning. The new colour scanning ability has further enhanced the appeal of the KIP 3000. Please call us to arrange to bring your documents into our showroom and test the KIP 3000.

COLOUR microfilm

Genus are very pleased to be able to offer a brand new digital to colour microfilm service. The whole concept of digital to microfilm writing has been expanding enormously in recent years and Genus has been at the forefront of this technology and service offering with products like the Kodak Archivewriter, SMA Digifiche, Microbox Polycom, Wicks and Wilson Card Plotters and the SMA 51. These devices have offered excellent opportunities to properly archive your important digital files on to full greyscale microfilm.

However with the huge demand for the scanning of paper documents in colour there is now also a demand for the archiving of colour images to colour microfilm. As such Genus has been working in collaboration with a number of European organisations with specialisations in colour management and microfilm technology to be able to now provide a digital to colour microfilm service (as well as a digital to conventional microfilm service).

With a resolution of 160 line pairs per mm our system can store either 16 A4 documents or one A0 size document in one conventional 35mm frame at 300dpi. For colour we take ECI-RGB colour space images and for where the accurate representation of original colours is important we can provide you with the appropriate colour calibration software.

To launch this service we are offering you the opportunity to send us sample images for testing completely free of charge. If you have an interest in this service or would like to talk more about your requirements then please call us.

OITUK DOCUMENT MANAGEMENT PROJECT

NHS LogoFaced with a health records library which was quickly becoming swamped, and patient records growing at an unsustainable pace, the University Hospital of North Staffordshire NHS Trust needed to take drastic action. A strategy for the management of health records was launched, with the decision to switch towards the electronic storage of paper records.

A business case was produced, outlining the proposal to gradually transfer paper records to electronic format, thus reducing storage and staffing costs and ensuring records were available at the right time, in the right place for those who needed them. OITUK was selected as the preferred supplier to provide a document management system to the Trust. The system was installed in April 2005.

Commencing on a small scale of 20,000 pages per week, this has now progressed to an average of 90,000 pages per week. And since commencement, the library now has over 100,000 case notes stored electronically. This has provided a huge amount of space within the library, reducing health and safety risks for staff. The system is also networked, with more than 300 users regularly accessing patient records via their workstations. The process has enabled the scanning of records which would have previously been stored off site, drastically cutting the cost of storage for the trust. Since September 2005, records of deceased patients have automatically been transferred to electronic storage, and there is now a programme in place which enables records of patients who have not attended for a period of 12 months or more to be scanned.

Following the implementation of the new Electronic Patient Record (EPR), OITUK has been able to work with the EPR supplier to provide access to all clinicians, and to view records through a single sign on, making access to the archived records easy. Proposals are now in place to commence scanning of current patient records.

E - Forms Project

OITUK is collaborating with three key Local Authority sites – Arun District Council, North Tyneside Council, and Wealden District Council, on a project to implement an Intelligent Electronic Claim form, which is designed to improve the speed and accuracy with which benefit claims lodged with the authorities are processed and minimize potential fraud related to claims for housing benefits. This project is funded by the Department for Work and Pension’s Performance Standards Fund.

The main objective is to introduce an intelligent electronic claim form that can be completed over the telephone, or over the web, thus enabling faster processing whilst securing a reduction in levels of fraud and error. The key elements of the system are:

  • Back-end EDM & Workflow system;
  • Mobile devices such as laptops and tablet PCs
  • Integration with back-end systems for data upload
  • Integration with e-mail systems for notification purposes.

Recent & New Projects

Kent Police - TIMS, developed for Police forces. E-Forms integrated with EDM & Workflow, complete with auto-document creation, and engagement with a number of thirdparties.

Tesco - Web hosted document search facility setup for Tesco, to allow users to search for and request physical records.

St Helens & Knowsley NHS Trust - C-Cube system installed to capture and manage patient records.

LA E-Forms - Phase 2 funding awarded by DWP to develop data upload and mobile e-Forms capabilities.

Capio HealthCare - forms processing using OCR as a service to extract and process patient survey data.

Their promotion at the end of the 2005/2006 season, in which former England internationals Tim Stimpson and Darren Garforth featured, reinstates them as being one of the top forty Clubs in English rugby. The Club provides rugby for three senior sides, ladies, U19’s and U17’s Colts, an Academy along with a thriving Mini and Junior section with age groups from U7’s through to U16’s. Graphic Press’ flexibility and quick turn around time allows us to go to print as late as mid-morning on the Friday before a home fixture, enabling us to offer the most current and factual information possible" commented programme editor John Green.

The A5 programme consists of a full coloured 28 page static book of features and adverts, a full coloured front and back cover with overprinted match day details and 16 weekly insert pages including news, views, match reports, player profiles and action photographs. In addition to the programme, Graphic Press also produce the Club’s other printing requirements including menu cards, flyers and posters.

The Club is always looking for support from local companies and with the new stadium plans due to commence in time for the 2007/2008 season, there has never been a better opportunity to get on board with the Nuns to promote businesses in and around the Nuneaton area.
