people making microfilm jacketsThe Microfilm Shop has been manufacturing microfilm jackets in the UK for over 12 years now. We are the only UK manufacturer of microfilm jackets and one of a very few manufacturers worldwide, producing a full range of both blue and clear laminate jackets in both metric and imperial sizes.

Recently one of the larger US manufacturer’s of microfilm jackets stopped production causing a revised interest in our Jacket product line. As such we wanted to remind our clients of our production capabilities. If you have a requirement for any type of microfilm jacket then please let us know.

In addition we can supply jackets on continuous stationery, with colour stripes, notched, pre-printed and to most formats.


sma22SMA22 Book Scanner

NEW – Recently launched by SMA is the new SMA 22 Fragile Book and Document Scanner. Already proving very popular with our clients was the SMA 21 high speed large format book and document scanner with a number of sales now. However what soon became apparent, during the SMA 21 marketing stage, was that some clients would need something very similar to the SMA 21 but with the ability to not touch very fragile masters. As such the SMA 22 was born.

The SMA 22 allows you to scan up to A2 size documents/books in full 600dpi colour. However, when scanning, you can choose to use the glass plate or not, with no reduction in scanning speed. In addition the SMA 22 uses a cold light illumination system thus subjecting the original documents to no infra red or ultraviolet adiation.

Thus we now have a high speed (6 second) up to A2 full colour, B/W and Greyscale scanner that applies no pressure or heat to the scanned documents.


Nationwide Case Study

The Nationwide Building Society in Northampton operates a large scanning and microfilm department.

Nationwide logoConsidering their use of the latest technologies for the majority of their Document Management, microfilm is employed to fulfil the long-term archiving requirements. All closed Mortgages, Insurance and Leaver files which have a legal obligation for retention of 6 years or longer, are microfilmed and filed in Jackets to be stored in the Society Archives.

Jackets have been used for many years but with the decline in the availability of suitable printers for creating the indexed headers, a new system has now been adopted. Jackets mounted on Computer Stationery are being indexed using their new Tally T2024 Dot Matrix Printers.

Nationwide have developed a simple Excel programme to create the required indexes, which are then printed onto the jackets. The quality of printing is superior to the old style typewriter and produces superb copies. The PC programme has made this job easier as all the information that is entered into the database is checked so there are no typing errors. They have found the system to be very cost effective and much faster than the old method. Nationwide produce around 550 jackets a day so obviously any improvement in speed, quality and efficiency has been a great benefit.

Genus, The Microfilm Shop, now have the machinery for mounting jackets onto Computer Stationery at their Nuneaton plant. With the recent reduction in manufacturers of Jackets, The Microfilm Shop is now one of the major manufacturers of these products in the world.

Sharon Townsend of Nationwide comments ‘Since the introduction of this Computer Stationery jacket system, we have seen a vast improvement in our accuracy of indexing and also an improvement in production speeds. Although we have a large and growing scanning operation we are confident of the requirement for long term storage facilities offered by Microfilm Jackets for our customers valuable documents’.


Fenland District CouncilFenland District Council Case Study

Fenland District Council provides a broad range of local services to improve quality of life in and around the Cambridgeshire market towns of Chatteris, March, Whittlesey and Wisbech. The Council aims to always ‘put the customer first’ and has ambitions to develop a wealthy and diverse local economy. Their aim is to be ‘the fastest improving district’.

Fenland District Council put a specification together late in 2005 for a solution to replace their existing analogue copier. This upgrade was part of Fenlands plan to implement their on-line planning system. The council had to act quickly as they wanted to achieve maximum planning delivery grant.

The purchase of the new equipment has also coincided with the development of the FDC website to a full transactional website. The Council has a plan in place to make all new planning applications available on the website on the same day that they are received in the print room.

The specification for the new equipment was as follows:

  • A large format device which could do the following:
    • Scan to file in colour and monochrome
    • Copy in colour and monochrome
    • Provide large format network printing facilities
    • Have a small footprint

The system would also need to have a medium to high output capability as it was to be a corporate device to be used by numerous departments including architects, engineers and planners. It would also be used by general office staff wanting to print large format copies of project plans.

Guy Robinson, ICT Operations Manager for FDC said “The KIP offering from Genus Large Format Systems was the only solution to provide all the features we were looking for”.

The KIP 4200 solution is a single footprint device utilising the KIP 2200 colour scanner and the KIP 4000 print engine. “We have now also linked the 2200 scanner to our existing colour plotter to create a large format colour copying facility. The KIP print engine has a print speed of 4 x A0 per minute and a monthly capacity of 7,500 linear metres, this more than meets our present and future requirements. With the purchase of this new system we feel that we have leap frogged technology from the old analogue copier we had to a modern digital solution. With the new system we have been able to halve our cost of ownership and printing costs”.

Phil Jones, Business Development Manager for Genus Large Format Systems Division said “Fenland District Council were very specific in what they required. We are confident that the new KIP system will help the Council achieve the goals they have set regarding on-line planning delivery”.

London office of White Young Green invests in KIP 3000 Digital Printer.

White Young Green is an international multi-discipline consultant to the built, natural, social and economic environment. They provide a range of high quality engineering, environmental, planning and management services to a diverse range of clients in the public and private sectors and to social and economic regeneration projects worldwide. White Young Green has 19 offices in the UK and offices in Europe and South Africa.

The office in Poland Street London recently decided to install a new KIP 3000 large format digital printer. IT Manager David Ray says the decision to purchase the KIP 3000 was made after an extensive look at what was available on the market.

“We decided to bring all large format copying, scanning and plotting inhouse after a period where all this work was out sourced. The strategy of out sourcing this work proved to be very expensive and often did not meet the turnaround targets that we had to meet”

“We went for the KIP machine as it met all the requirements we were looking for. It provides scanning, plotting and copying in a true single footprint device. We also liked the fact that it is the latest technology from KIP and the fact that the printer is 100% toner efficient with no waste toner.

C-Cube Capture will support all the capture features of C-Cube Lite and include facilities for image correction, such as cropping, deskewing, black-border removal, page combination and multi-page splitting.

3. C-Cube Web Hosting
OITUK has developed C-Cube Portal - a web hosting solution which will support both bureau service providers and end users, to host data, including documents, and document-based applications, on a secure remote server, accessible by users via defined security protocols.
The key objective is to provide a hosted facility for service bureaus for use by their own users, via software which is flexible enough to support a range of business applications and can be readily configured to reflect the customers’ profile.

The following functionality is identified for the C-Cube Portal Web Hosting Service:

  • Flexible web browser-based business solution which is accessible via a secure hosted service;

Genus – The Microfilm Shop along with OITUK will be exhibiting at the forthcoming Library + Information exhibition at the NEC, Birmingham on the 26th and 27th April 2006. We are on stand 315.

We will be exhibiting the SMA 51 digital to 16 and 35mm microfilm writer, the Kodak 3000 DSV-E A3 microfilm scanner, the SMA 21 A2 High Speed (2 second scan speed) full colour document/book scanner and the Canon MS300 microfilm scanner combined with the KIP1020 A2 printer to provide an up to A2 microfilm scanner/printer. Our star attraction will be a brand new A2 Colour and Greyscale book/document scanner. Never before launched anywhere this scanner sets new standards in terms of scan quality. The price is also significantly cheaper than anything else on the market plus we have a new rental package option. Bring some documents/books along to our stand and we will scan some samples for you.

In addition OITUK will be offering demonstrations of its new off-the-shelf Document Management product – C-Cube Lite plus its new Web hosted suite of products. Also on show will be a new C-Cube Capture software product to accompany any document and/or microfilm scanners.

C-Cube Lite enters the market at a very attractive price with no license renewal costs. This is an ideal Bureau software product and can import documents from most other Document Management systems.


Arun District CouncilArun District Council & Planning with C-Cube e-Planning

A new Planning Department system installed at Arun DC shows how all areas of the Genus Group can work together to provide a solution for a client.

The new system using the new C-Cube e-Planning platform, launched on the 23rd November 2005, allows customers to view Planning Application plans and forms via the Internet. It allows a customer to view the database of applications going back to 1948 and for new plans accepted since the 1st November 2005 it is now possible to view the actual plans and then to make comments on them. Also available is a scaling tool which allows measurements to be taken from the plans.

OITUK designed and installed all of the software aspects of the Planning System, from its new C-Cube e-Planning technology, whilst Genus Large Format Systems division installed and supported the integral KIP 2200 full colour AO scanner.

Maureen Chaffe, the Project Sponsor commented that OITUK proved they were more than able to meet the Council’s requirements, even though this was OITUK’s first experience of working with a planning office within Local Government – an area that the Genus team has had extensive experience of. Maureen commented further that OITUK’s staff bent over backwards to create and deliver a solid plan. For every challenge that was presented by the Planning Office, OITUK responded promptly with a detailed proposal.

Implementation was achieved in 4 weeks. The icing on the cake is that Government agent Peter Pendleton & Associates has surveyed all Local Planning Authority websites in the country to assess how well they provide this service. Arun District Council has been awarded top marks for its new facilities – Arun met all 21 criteria. This means that Arun residents and businesses can access all of these services by visiting Arun’s web site – www.arun.gov.uk/planning.


Information Management AwardOITUK Information Management Award

In December 2005 OITUK won two prestigious awards at the Information Management Awards 2005. Held at the Grosvenor House Hotel with 1400 people in attendance OITUK, in partnership with its long term client Addenbrooke’s Hospital NHS Trust, won the Content Management Award.

This was against stiff competition from the likes of Amazon, Network Rail and BT Global Services. The same project then went on to pick up the commendation prize in the overall Premier Project of the Year award against over 100 other projects.

The system, at Addenbrooke’s Hospital in Cambridgeshire, known as e-MR, provides clinicians and administrative staff with an electronic document solution that allows them to access critical data such as patient records from computer terminals throughout the hospital, significantly improving staff efficiency and reducing costs at the same time.

“This double award win is a triumph for the company and a vindication of all the hard work that has gone into developing the e-MR system for Addenbrooke's. By listening closely to the client, we have delivered a system that moves well away from the traditional content management system and provides a solution that has had profound effects on how the hospital operates. We are now keen to build on our success and increase our business profile within the health sector.” said Vijay Magon, Technical Director of OITUK.
